Hi.Ho.Coaching is run by me, Susie Powis, trading as a sole trader. I am the data controller for the personal information described here. If you have any questions about this policy or how I use your information, email me at hi.ho.coaching@gmail.com.

What I collect

• Contact details you give me: your name, email address and phone number, when you book a call, sign up to my newsletter, fill in a form or email me.

• Booking and coaching information: appointment details and anything you choose to share with me before or during coaching.

• Payment information: payments are handled by my payment provider. I never see or store your full card details.

• Website usage: pages visited, device and browser type, and approximate location, collected through cookies and analytics.

How I use it

• To arrange and deliver coaching sessions and programmes.

• To reply to your enquiries.

• To send my newsletter, if you have signed up to it.

• To take payment and keep the business records the law requires.

• To understand how my website is used so I can improve it.

My lawful bases

• Contract: to provide the coaching or programme you have booked.

• Consent: to send you my newsletter. You can withdraw consent at any time.

• Legitimate interests: to answer enquiries and to run and improve my business.

• Legal obligation: to keep financial and tax records.

Who I share it with

I never sell your information. I share it only with the services that help me run my business, which process it on my behalf:

• Squarespace (website hosting, forms and newsletter)

• Acuity Scheduling (booking)

• Stripe, Monzo (payment provider)

• Zoom (Video conferencing)

Some of these providers store data outside the UK. Where they do, they use safeguards recognised under UK data protection law.

Confidentiality

What you share with me in coaching stays confidential, unless I am required by law to disclose it or I believe someone is at serious risk of harm.

How long I keep it

• Enquiries that don't lead to coaching: 12 months.

• Client records and coaching notes: 3 years after our work together ends.

• Financial records: 6 years, as required for tax purposes.

• Newsletter details: until you unsubscribe.

Cookies

My website uses essential cookies to work properly and analytics cookies to show me how it is used. You can accept or decline non-essential cookies through the cookie banner, and you can clear or block cookies in your browser settings.

Your rights

Under UK data protection law you can ask me to: give you a copy of your information, correct it, delete it, restrict or object to how I use it, or transfer it to someone else. You can also unsubscribe from my newsletter at any time using the link in every email. To use any of these rights, email hi.ho.coaching@gmail.com and I will reply within one month.

Complaints

If you are unhappy with how I have handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

Changes to this policy

I may update this policy from time to time. The latest version will always be on this page.
